Thank you for booking your child on to our Forest friends / after-school club / holiday clubs, here are a few things to help your child have an awesome time with us!

Forest Friends

Parents / Carers must attend the club with their child

Please check the dates & start time that the club runs carefully on our bookings page as missed sessions cannot be refunded. 

Refund policy: From the time of booking up to 12 hours before you will receive a gift card refund to use at another session, valid for 12 months, Less than 12 hours notice NO REFUNDS.

If the club is cancelled by PFS then you will recive a gift card voucher, valid for 12 months.

After School Club

Please check the dates that the club runs carefully on our bookings page as missed sessions cannot be refunded. 

Please make note of the strict collection time when the club finishes. Please be ready to collect at the time stated.

Clubs may be cancelled if there are less than 8 children attending, Refunds are per our refund policy at the end of this page.

Holiday Club

We are strictly a NUT-FREE club, please pack lunches and snacks accordingly, also a water bottle.

Clothing - Please pack clothing for all weathers, we highly recommend layers (no jeans), raincoat, trainers and wellies, a hat and a few spares such as socks, as it can get a be muddy at some of our locations.

Sun cream – Please put sun cream on your child if the forecast is sun, also pack it in their bags for them to reapply throughout the day if needed.

Please check your booking confirmation for the day & length of stay you have booked.

Extended Day Drop off 8.30, pick up 5.30pm

Standard Day Drop off 9.00, pick up 3.30pm

Please drop off at these times, if you are running late for any reason, please phone to the club phone to let the team know.

If you need an early drop off and you have only paid for a standard day, then please contact Admin to arrange this.

If you need to collect your child earlier than the times stated, please arrange this at the gate at drop off with the forest school leader.

If you decide you would like your child(ren) to stay extended as you have only booked a standard day, please use this booking link below to pay the additional £10 per child, per day and inform the forest school leader at drop off.

TERMS AND CONDITIONS FOR PARENTS

This policy applies to any booked places at an, forest friends, after-school club or holiday club that is run by Primary Forest School and Outdoor Education or any of its staff.

BEHAVIOUR

  • Leaders will state to the children, the company’s behaviour policy at the after-school clubs and holiday camps, and the consequences, within the introduction each day.
  • Where a child’s conduct falls below the standard which could reasonably be expected of them the first priority will be to ensure the safety of all children and staff and to restore a calm environment.

At PFS clubs we promote a 3-stage warning system, see below:

  • Warning 1; is verbal and explain the consequences of Warning 2, outlining what behaviour they are doing which is a negative behaviour.
  • Warning 2; is another verbal warning and a phone call to parents informing them that a second warning has been given and that if another warning is given you will be calling them to come and collect the child and explain why the child may not be able to stay at the provision (behaviour details)
  • Warning 3; is the final verbal warning and a phone call to parents to ask them to pick up their child at their earliest convenience as their child is not safe at the club. At this point the child must remain with a member of staff.

There are some behaviours which we feel it is appropriate for the Head teacher (if within school) or Director (if at Holiday clubs) to deal with immediately and these may not be escalated through the usual route. In the absence of the HT the next most senior person or member of management who will be consulted about the consequence.

These behaviours are:

  • Unprovoked physical attack
  • Spitting at someone
  • Vandalism
  • Refusal to follow an adults instructions
  • Swearing
  • Stealing
  • Any form of racism
  • Formally recorded incidents of Bullying (as opposed to more general unkindness which will be dealt with using the usual school sanctions)
  • Please refer to Primary Forest School Behaviour Policy for more information.
  • Primary Forest School will, inline with the requirements of the Equality Act 2010 and SEN code of practice, make reasonable adjustments for children with special educational needs and disabilities in relation to this policy where it is deemed appropriate.
  • A “reasonable adjustment” never means that we lower our expectations or exclude children. It means that some children need additional support to ensure that they meet the high expectation that we have of all our children that attend our provision.  
  • Children must be able to independently use the toilet facilities at the venue before attending their first session. Staff are not trained to change nappies or pull-ups.

PARENTS’ RESPONSBILITY

  • Parents must inform the leader of any medical, dietary, or behavioural requirements when booking.
  • Parents must provide emergency contact details
  • Parents must be asked about consent to take photos of their child/ren
  • Parents must be aware that Primary Forest School will accept no liability for injuries caused at the Holiday Camp or After School Club.
  • Parents must provide their children with adequate clothing and accessories for weather e.g. sun and rain etc.
  • Parents are responsible for ensuring that inhalers are with their children. If they are wanting a leader to store inhalers, they must be given in a labelled bag 

INSURANCE

All children will be covered under Primary Forest School and Outdoor Education’s £10million public liability insurance.

LEADERS

All Primary Forest School leaders possess the following qualifications:

  • Level 3 Forest  School Leader (or equivalent)
  • A clear enhanced DBS through Primary Forest School
  • Level 2 Safeguarding training (our leadership team all have Level 3 safeguarding training)
  • PREVENT training
  • A paediatric first aid qualification which they must renew every 3 years
  • Allergy and Epi Pen Training
  • Food for wrap-around care provision

Should a child be staying for our wrap around care provision (either in after school clubs, breakfast clubs or holiday camps), our leaders may be providing food to your child. We will only provide food to your child should you agree when booking and all snacks will be appropriate for all needs.

Please note: Primary Forest School and Outdoor Education encourages a NO NUT policy!!

HYGIENE

Each setting has set high standards of personal hygiene for all members of staff involved in the handling and preparation of food, (please see personal hygiene policy and procedure for further information). Members of staff will be responsible for ensuring that any children involved with preparation of snack follow strict hygiene procedures. In addition, any person showing signs of ill health will not be permitted to handle food.

Staff are expected to wash their hands thoroughly for 20 seconds before handling any foods. Staff should also be expected to clean any surface where food is provided.

REFUND POLICY

Refund Policy for September 2023 - September 2024: Please Read Carefully

Holiday clubs/ After School Clubs:

24 hour grace period for booking errors - full refund minus the booking fee / gift voucher (valid for 1 year) / rebooked by Primary Forest School on to the correct date(s) if available, please allow up to 7 days for a refund.

More than 7 days prior to date booked -  full refund minus the booking fee / gift voucher (valid for 1 year)  / rebooked by Primary Forest School on to the correct date(s) if available, please allow up to 7 days for a refund.

Within 7 days of club dates - Rebooked by Primary Forest School on to a new date(s) if date(s) are available. No refunds or gift card issued. 

If the club is cancelled by Primary Forest School, all bookings will be given a voucher to the full value of the booking (valid for 1 year). This can be used on any Primary Forest School session or merchandise by using the voucher code given on the website. Voucher codes will be unique to each individual and emailed separately.

BY TICKING THE BOX AT CHECKOUT, ALL PARENTS, LEGAL GUARDIANS AND CHILDREN WHO ATTEND HOLIDAY CAMPS OR AFTER SCHOOL CLUBS ARE AUTOMATICALLY AGREEING TO THESE TERMS AND CONDITIONS.
